Executive Assistant

Duties and Responsibilities:
- Provide administrative support to the Executive Director, the Board of Directors and Board committees
- Manage the schedule of the Executive Director
- Prepare drafts, collect edits, record approvals, maintain and distribute Board of Directors, Board Executive Committee and Managers meeting minutes to appropriate individuals or staff
- Collect documents for monthly Board of Directors packets including Board committee and Executive Director reports
- Assemble and distribute packets to Board members allowing sufficient time for review before the Board meeting
- Prepare materials for Board recruitment and board orientation.
- Maintain records of past Board membership, meetings, retreats, and actions
- Screen mail for Executive Director and route routine/informational mail to appropriate parties
- Maintain resource files and computer database
- Coordinate agency-wide mailings, printing of materials and purchasing of office and program supplies
- Compile, complete and distribute to all staff the agency newsletter, the Notepad, on a monthly basis
- Keep abreast of legislative issues or other key issues that affect our funding, community, or services offered, through Internet searches, news clippings, and distribute to staff as needed
- Organize key policy issues and changes to make it accessible to staff and the Board
- Coordinate the completion of projects as assigned, including logistic support to agency-wide staff activities and board retreats
- Assists in the compilation of grant proposals, specifically, provide support to Development Department as needed
Essential Skills, Knowledge, and Abilities:
- Bachelor's Degree in Child Development, Education, Data Management, Public Policy, Business Administration or related field and 2 -5 years of relevant experience
- Bilingual in English and Cantonese preferred
- Must be detailed oriented and well organized
- Demonstrated ability to work in a team environment
- Evidence of working under and meeting deadlines with a high degree of accuracy
- Excellent oral and written communication skills required
- Word processing experience required (Windows, MSOffice including MS Access, MS SQL and Crystal Reports experience preferred)
Compensation and Benefits:
Salary depending on experience plus 18 PTO days, full cafeteria plan for health, dental and numerous other benefits.
